Festival Associate Manager, Event Guest Relations (Seasonal role)

Location: Park City , UT

Employment dates -†Wednesday, September 4, 2019 thru Friday, February 21, 2020

Pay rate: $17.75 per hour

Considerations: This position works full time out of our Park City, UT office. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned.† A high level of mobility is required.

Position Summary: Manages guest relations planning and onsite guest check-in and seating for the Artist at the Table benefit event.

Duties and Responsibilities:†

  • Coordinates all guests relations, including communications prior to the event and responses to guest inquiries received via email and phone preferably within 24 hours.†

  • Collects and tracks ticket and table purchases and donations, guest contact information, waitlists, and RSVP information.

  • Runs onsite event check-in, including directing working staff and volunteers, tracking and disbursing tickets to guests.

  • Works closely with Associate Manager, Event Logistics on the crossover of duties and provides support as necessary.†

  • Plans and arranges seating assignments and coordinates day of event seating with executive office and advancement department.

  • Processes revenue with finance department, including updating and tracking processed and pledged revenue in the organizationís Customer Relationship Management tool.

  • Researches and compiles guest bios and distributes internally to working staff and Board of Trustees.

  • Works with the advancement department to ensure donor transactions and event details are collected and tax acknowledgement letters are sent to guest after the transaction is processed.†

  • Coordinates with marketing to create event collateral, including assisting with messaging and design, gathering feedback and approvals, and order and compiling materials.†

  • Provides support to the Director, Events and Manager, Advancement Events as directed.†

  • Supports other event team members as directed.†

  • Completes a comprehensive written wrap report as directed.†

  • Other duties as assigned.

Position Requirements:

  • Legal authorization to work in the United States.

  • 3 years experience planning and executing events or administrative experience.†

  • Outstanding communication skills, verbal and written.

  • Strong interpersonal and professional skills required to work effectively with a variety of people.†

  • Excellent organizational skills including self-management of work schedule.

  • Must be able to maintain confidential information.†

  • Ability to work nights and weekends around events and key deadlines.†

Preferred Education, Experience, and Skills:

  • Working knowledge of databases along with proficiency in Google Products.†

  • Experience working with donors and board members.

  • Experience with tracking and maintaining budgets.
