Festival Coordinator, Theatre Operations - SLC (Seasonal role)

Employment dates:††Wednesday, December 11, 2019 thru Friday, February 21, 2020

Pay rate: $15.75 per hour

Considerations: This position works full time out of our Park City, UT office. May be lodged in Park City during the January Film Festival. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned. A high level of mobility is required as well as an ability to drive safely in winter road conditions.

Position Summary: Coordinates logistical and operational duties to support the Theatre Operations Department and Team.†††

Duties and Responsibilities:†

  • Confirms budget, timing of orders and facilitates delivery schedule with Production Department on theater equipment and supply orders submitted by each Regional Manager.†

  • Coordinates theater load-ins/outs, including, receiving inventory, rental and storage equipment, developing schedules, moves and build-outs with Production Department.

  • Orders, inventories and distributes theater signage as directed.

  • Acts as a department representative for the theater Operations office during the Festival.

  • Supports set up of the theater operations festival office including desks space, furniture needs and technology installation.

  • Schedules, trains, and manages volunteers as assigned.††

  • Distributes film posters to assigned theaters as directed by the Press Office.†

  • Creates a system to maintain accurate team contact information, e.g. phone numbers, schedules, locations, and calendars, etc.†

  • Tracks, distributes and collects 300+ theater keys to volunteer theater managers, tech services, production, and IT personnel.†

  • Along with TOPS Assistant, coordinates the daily runner schedule & logs for equipment and supply deliveries for 15 theaters in 3 cities.

  • Programs and distributes the theater Operations team festival cell phones.

  • Takes minutes at department meetings and routes to team.

  • Assists team with timelines, inventorying, ordering, special screenings, etc. as directed.††

  • Writes a comprehensive written wrap report as directed.

  • Other duties as assigned.

Position Requirements:

  • Legal authorization to work in the United States.†

  • Valid driverís license and successful completion of DMV background check.†

  • 2 years experience in venue or event operations or related.††

  • Outstanding communication skills, verbal and written.

  • Strong interpersonal and professional skills required to work effectively with a variety of people.†

  • Excellent organizational skills including self management of work schedule.

  • Ability to work nights and weekends around events and key deadlines.†

  • Ability to lift and carry items up to 50 lbs.†

Preferred Education, Experience, and Skills:

  • Working knowledge of databases along with proficiency in Google Products.

  • Knowledge of Park City and Salt Lake City.
