Festival Manager, Event Operations (Seasonal role)

Location: Park City , UT
Department: Events

Employment dates: Wednesday, September 4, 2019 thru Friday, March 27, 2020

Considerations: Extended hours, weekend work, and some holidays will be required leading up to and during the Film Festival.  Position may be housed in Park City during the Festival.

Position Summary: Manage logistical needs and support event leads with multiple events held at official Events venue during the Sundance Film Festival. 

Duties and Responsibilities: 

  • Supervises three staff members: Two Event Venue Associate Managers and Associate Manager, Event Beverage Logistics 

  • Manages overall departmental operations and administrative needs including permitting, equipment rental orders, production assistance needs, signage orders, security needs, evacuation plans etc. 

  • Supports in staff training including leading some trainings, preparing meeting agendas, materials, and scheduling meeting space. 

  • Oversees department calendars, timelines, and resource documents ensuring accurate information and details are noted.  

  • Oversees main office move to off-site location to acquire equipment, tech, desk, etc. needs. 

  • Manages off-site Festival events office, including coordinating communications, locating products, ensuring deliveries are made, keeping office organized and functioning, etc. 

  • Provides communication to various internal stakeholders to plan, order, and track various event items, including signage, sponsor activations, photography and content, guest transportation etc.

  • Maintains good rapport and timely communication with outside contacts. 

  • Supports Sr. Manager with processes and tracking department budget and expenses as requested.

  • Supports departmental projects, including data collection, digital folder organization, Institute wide calendar updates, etc., and other team members with event planning and execution as directed.

  • Conducts pre and post Festival inventory of events storage areas and keeps areas safe and  organized. 

  • Completes a comprehensive written wrap report as directed. 

  • Other duties as assigned.

 

Position Requirements: 

Employee has legal authorization to work in the United States.

 

EDUCATION AND EXPERIENCE

  • 3 years experience planning and executing events. 

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Detail oriented and able to take initiative and work independently. 

  • Strong project coordination skills, with the ability to maintain multiple projects simultaneously. 

  • Excellent customer service skills. 

  • Working knowledge of Gmail, Google Drive (including Google Docs and Google Sheets and Google Calendar).

  • Excellent communication and interpersonal skills (written and verbal). 

  • A professional attitude and demeanor (tact, sensitivity, and diplomacy).

  • Ability to think and act quickly under pressure.

  • Basic knowledge of audio/visual equipment preferred.
