Festival Manager, Credentials (Seasonal role)

Location: Park City , UT

Employment date: Monday, October 7, 2019 thru Friday, February 14, 2020

Pay rate:  $900 per week (Exempt)

Considerations: This position works full time out of our Park City, UT office. May be lodged in Park City during the January Film Festival. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned.

Position Summary: Manages the planning, implementation and daily operations of the credential department which prints Sundance Film Festival credentials for staff, departments, and attending external constituents. This position will have three direct reports to assist with facilitating department operations, processes, and functions. 

Duties and Responsibilities: 

  • Manages credentialing procedures and processes to print and deliver approximately 27,000+ credentials to staff, volunteers, artists, etc by the deadline.
  • Schedules and conducts needs assessment meetings regarding internal departments and their credential needs, review credential policies, and procedures.  
  • Plans and communicates regularly with internal and external stakeholders regarding equipment, supplies, setting deadlines, etc. for credential needs. 
  • Develops or updates credentialing forms, training materials, procedures, policies, etc. 
  • Manages seasonal staff and volunteers, includes selecting and training highly effective staff and volunteers, providing direction, feedback, and support to ensure employees and volunteers understand responsibilities and are effective in their roles, and delegates appropriate and meaningful work.
  • Works with the volunteer department to acquire adequate volunteer coverage for box office and balloting needs. 
  • Provides ongoing and accurate information, via phone and an e-newsletter, to volunteers and provides timely responses to their inquiries. 
  • Trains, provides general supervision, creates schedules, and ensures evaluations are completed for assigned volunteers. 
  • Works with Institute manager to prepare an RFP (request for proposal) for best pricing and quality for credential paper stock, holographic stickers, and badge holders.
  • Manipulates graphics, crops, and resizes electronically submitted photos to meet standards. 
  • Tracks and communicates with the software providers and ticketing system teams regarding issues that arise with credential software to ensure quick resolution.
  • Works with various internal departments and our software provider to design credentials and proof content before finalizing the layout.
  • Maintains an accurate count of the number of credentials issued (include test prints and reprints).
  • Conducts audit on submitted information and printed credentials to ensure accuracy. 
  • Manages all credential equipment and inventory to ensure functionality and adequate stockpile.
  • Coordinates with the corporate development department on sponsor-provided items, e.g. lanyard acquisition, printer rental, timelines, etc.
  • Communicate regularly with Institute manager on timelines, departmental interactions, and issues that arise. 
  • Ensures credential processing stations are set up and ready by the deadline by working with production venues, and other internal departments and assists with on-site setup and breakdown. 
  • Writes a comprehensive written wrap report as directed.
  • Other duties as needed.

Position Requirements:

  • Legal authorization to work in the United States.
  • 3 years operational planning and implementation experience or related. 
  • Leadership skills with a background that includes managing people.   
  • Outstanding communication skills, verbal and written.
  • Strong interpersonal and professional skills required to work effectively with a variety of people. 
  • Excellent organizational skills including self management of work schedule.
  • Must be able to maintain confidential information. 
  • Able to mitigate conflict and facilitate positive customer relations. 
  • Ability to work nights and weekends around events and key deadlines. 
  • Ability to lift and carry items up to 50 lbs. 

Preferred Education, Experience and Skills:

  • Experience scanning, cropping and converting photos to JPEG files. 
  • Working knowledge of databases along with proficiency in Google Products.
  • Experience facilitating training for large groups.
  • Experience working with Toptix or another ticketing system.
