Coordinator, Artist Accelerator & Women at Sundance Institute

POSITION OVERVIEW

The Coordinator, Artist Accelerator & Women at Sundance Institute, facilitates full-cycle (artist selection to program review) administrative and programmatic duties to support cross-disciplinary artist funding, year-round fellowships, and engagement opportunities. The Coordinator serves as a point of contact for those who engage with the programs and initiatives, including fellows, advisors, mentors, industry partners, and all internal departments.

Working under the direction of the Manager, Artist Accelerator & Women at Sundance Institute Programs the Coordinator supports Sundance Institute’s commitment to strengthening our artist pipeline through piloting and implementing cross-disciplinary fellowships and granting opportunities.

This full-time position may work remotely from within any of our operating states. Extended hours, including evenings and weekends will be required at key points. Domestic travel, including festivals, field convenings, outreach and cultivation activities will also be required as directed.

Top priorities include but are not limited to…

  • Facilitating the full cycle of administrative activities related to all department programs and initiatives.

  • Coordinating program application launch by proofing and routing application questions, home page copy, and reviewer forms for approval, testing applications, and acting as a liaison for questions and issues from applicants.

  • Routinely reviewing website content to update copy as necessary.

  • Acting as the main point of contact for those engaging with the department’s programs and initiatives, including managing the department’s email inbox and voice messages, ensuring timely responses.

  • Routing crediting and recognition approvals for department’s fellows and grantees.

  • Actively sharing opportunities with the Artist Program Group (APG) so they can communicate directly with their alumni to solicit nominations and advise on deadlines/timelines.

  • Highlighting and communicating artist opportunities to solicit nominations from allied organizations, Sundance Institute Artist Programs and partners, and conducting outreach as directed.

  • Supporting the Manager with tracking and onboarding advisors and mentors.

  • Supporting the Manager with requesting independent contractors and submitting payment requests to ensure timely payment for all fellowship and fund reviewers, panelists, and other advisors.

  • In collaboration with team members, producing an annual supported artist calendar across all fellowships, scholarships, and granting that tracks cohort calls, professional development opportunities, industry sessions, mentorships, consultancies, networking events, etc.

  • Collecting and tracking updates for reports, program review, and evaluation for designated department opportunities.

  • Performing ongoing data entry into department tracking systems to maintain accurate information on artist, screener and panelist data, grants, etc. across the Institute to ensure accurate reporting, as directed.

  • Conducting research, tracking, and reporting feedback from program participants, and liaising with internal and external stakeholders to support the department’s advocacy and field building initiatives.

  • Actively participating in fellowship and grant panel meetings, ensuring best practices and protocols are applied throughout each step of the processes.

  • As directed, watching cuts and providing feedback to grantees and fellows as well as helping them to prepare for pitches, and connecting them to other learning opportunities through Sundance Institute Collab or other programs.

  • Supporting the Manager by coordinating pre and onsite Film Festival planning and implementation for activities and logistics developed to support partner organizations and fellows including orientation, developing agendas, procuring tickets, etc.

  • Hosting fellows and partner organizations attending the Film Festival by being their main point of contact to help them navigate transportation, pre-planned events, screenings, and receptions as assigned.

  • Representing the Institute on panels and at Forums when appropriate.

You have the following direct or transferable skill sets:

  • 2 years related experience, such as grant or nonprofit program administration.

  • Strong administrative and organizational skills.

  • Strong attention to detail in recording, tracking, and issuing information accurately.

  • Ability to meet concurrent timelines and priorities.

  • Excellent writing, editing, and proofreading skills.

  • Strong communication and interpersonal communication skills.

  • Ability to maintain confidential information.

  • Working knowledge of databases (AirTable, Netsuite), Google products, and survey tools (SurveyMonkey Apply) preferred.

  • Knowledge of basic web tools such as HTML, Photoshop, and InDesign preferred.

  • Legal authorization to work in the United States.

*Final rate of pay is determined based on the applicant's geographic location, relevant experience and skills, and internal equity among similar positions within our organization.
