POSITION OVERVIEW
The Festival Coordinator, Operations is charged with assisting with administrative tasks related to planning, implementation, and management of the Production and Operations department. This includes supporting Venues, Theater Operations, Production, Technical Exhibition, Transportation, and Logistics as needed.
Working closely under the direction of the Director, Production and Operations, the Coordinator, Operations position supports Sundance Institute’s commitment to fulfilling a successful and positive Festival experience for all artists and patrons.
This temporary position works full time from Monday, June 1, 2026 through Friday, August 28, 2026 and will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position must be based within a commutable distance to Boulder, CO in order to work onsite in a hybrid capacity throughout its employment.
Top priorities include but are not limited to…
Working within Google Drive, Slack, and other Institute systems to ensure departmental organization, and timely communications both within and outside the department.
Ensuring accuracy in all department materials, including supporting the maintenance of documents, systems, and plans.
Utilizing Airtable, and other project management software as needed, to manage and realize needs, update plans, and maintain timelines across all Production and Operations departments.
Facilitating logistics for Festival planning meetings, including working across departments to generate agendas, taking and distributing notes, and securing meeting space and schedule for onsite during the Festival.
Working closely with the Director, Production and Operations supporting logistical and administrative needs while maintaining discretion around sensitive information.
Coordinating and supporting with the maintenance of the calendar for Director, Production & Operations to include generating meeting requests in Google Calendar across time zones, tracking agendas, and ensuring guest lists are accurate.
Scheduling meetings with internal departments to review and update their needs related to Festival planning and operations.
Supporting Operations departments that require assistance as needed and available.
Drafting, formatting and proofreading various correspondence and documents.
Assisting with accounts payable invoice management, credit card reconciliation, and other financial items as needed.
Abiding by pre-existing systems and creating new ones where needed to streamline work and increase efficiencies.
During Festival planning, providing administrative and onsite support for Director, Production and Operations.
Supporting the completion and compilation of Operations team wrap reports post-Festival.
Providing support for events and additional special projects throughout the season as needed.
You have the following direct or transferable skill sets:
Valid driver’s license and successful completion of MVR background check.
2 years of experience with administrative project-based work for venue or live event operations, or related.
Ability to prioritize, and strong organizational skills to handle multiple completing projects and tasks in a fast-moving environment.
Strong attention to detail, self-motivation, and proactivity.
Ability to maintain confidential information.
Outstanding communication skills to build productive working relationships with a wide variety of people internally and externally across departments and levels.
Knowledge and experience with the Google Suite.
Legal authorization to work in the United States.
