Festival Liason, Artist Relations (Seasonal role)

Location: Park City , UT

Employment dates:††Monday, November 4, 2019 thru Wednesday, February 12, 2020

Payrate: $15.75 per hour

Considerations: This position works full time in our Park City, UT office and will be required to work extended hours, including evenings, weekends, and some holidays.

Position Summary: Coordinates pre-festival logistics and communications with an assigned group of participating guests and artists to successfully host them during the Sundance Film Festival program.†

Duties and Responsibilities:†

  • Initiates communication and relationship with assigned festival guests and artists, after they have received an official invitation.

  • Collects, enters, and maintains accurate guest/artist information in the Festival database and tracking documents.†

  • Coordinates all guest/artist benefits; including screening tickets and credentials; may also include stipends, booking travel, arranging lodging, and coordinating ground transportation.†

  • Accurately tracks and maintains assigned category budget.

  • Gathers Festival guest/artist information for Festival publications and website and proofreads content before print and launch.

  • Compiles benefit packages and a complete Festival schedule of events for each attending guest/artist.

  • Assists with setting up temporary Festival office located at Festival HQ, and other Festival venues as assigned.

  • Shares event invitations and is the onsite host at assigned events.

  • Greets and hosts each guest/artist upon arrival and throughout their stay during the Festival; includes providing a Festival orientation, distributing Festival benefits, covering key screenings and relevant events.†

  • Remains on call and available during the Festival to ensure guests/artistís have all the information and support they need to navigate and enjoy the Festival.††

  • Provides assistance with all Artist Relations guests, film screenings, and events as directed.†

  • Participates onsite for relevant meetings, walkthroughs, screenings, and events pertinent to Festival guests/artists, working closely with Festival programming team, Festival operations team and other Institute programs as necessary.†

  • Supervises an assigned volunteer(s) who supports the liaisons during the Festival, includes providing direction and feedback to ensure everyone is successful.††

  • Writes a complete wrap-report, that includes archiving relevant documents, information, and tracking documents in the Festival database as outlined.

  • Coordinates thank you letters and post-Festival surveys for guests/artists, and finalizes any outstanding correspondence, and department accounting.

  • Other duties as assigned.




Position Requirements:

  • Legal authorization to work in the United States.

  • 2 years experience coordinating guest services including travel, benefits, etc.

  • Outstanding communication skills, verbal and written.

  • Strong interpersonal and professional skills required to work effectively with a variety of people.†

  • Excellent organizational skills including self-management of work schedule and duties.

  • Must be able to maintain confidential information.†

  • Ability to work nights and weekends around events and key deadlines.†

Preferred Education, Experience, and Skills:

  • Working knowledge of databases along with proficiency in Google Products.

  • Proofreading online and print content.

  • Prior event experience.†
