Seasonal Grant Writer, Institutional Giving

POSITION OVERVIEW

The Seasonal Grant Writer, Institutional Giving supports the Institutional Giving team during its peak grant cycle and Festival preparation.

Working closely under the Interim Associate Director, Institutional Giving, this role will play a key role in tracking and routing deliverables, supporting donor crediting, acknowledgments, invoicing, communications, and stewardship.

This temporary position works part time (16-24 hours per week) from Monday, November 3, 2025 through Friday, February 13, 2026. This is a fully remote role that may be based out of any of our operating states and does not require any onsite work duties. Extended hours, including evenings and weekends will be required at key points to meet deadlines and respond to on-call needs as assigned.

Top priorities include but are not limited to…

  • Crafting compelling, clear, and accurate written materials for grant proposals and reports, in keeping with funder guidelines and deadlines.

  • Tracking grant deadlines and deliverables for institutional funders.

  • Routing department contact lists and internal requests to Institute departments, providing updates to the Interim Associate Director and Manager.

  • Drafting and updating funder-facing materials (e.g., acknowledgment letters, LOIs, stewardship communications).

  • Serving as the primary contact for crediting and recognition requests, ensuring timely outreach and approvals.

  • Managing and tracking asset approvals and sharing crediting information with internal teams.

  • Supporting donor correspondence, invitations, and mailings during the transition and Festival periods.

  • Updating NetSuite information for opportunities, prospects, and deadlines.

  • Monitoring departmental inboxes, routing inquiries and flagging urgent matters for the Interim Associate Director and Manager.

  • Performing administrative tasks, including meeting scheduling, calendar management, and meeting notes.

  • Providing backend support for virtual donor engagement activities during the Festival, ensuring individual requests and inquiries are fulfilled in collaboration with Advancement, Operations, and Events.

  • Routing customer support or tech-support issues during the Festival to minimize disruptions for institutional funders.

You have the following direct or transferable qualifications and skills:

  • 2 years of experience in nonprofit, development, or administrative roles.

  • Strong attention to detail and organizational skills, with the ability to manage competing priorities during peak seasons.

  • Familiarity with customer relationship management (CRM) databases (e.g., Salesforce, Raiser’s Edge, NetSuite, Airtable).

  • Excellent written and verbal communication skills and a collaborative work style.

  • Ability to work flexible hours during the Festival season, including evenings.

  • Legal authorization to work in the United States.
