Festival Coordinator, Development

POSITION OVERVIEW

The Festival Coordinator, Development is charged with administrative and logistical duties to support the Development team with the stewardship of individual donors and foundation and government supporters of the Institute.

Working closely under the Manager, Individual Giving, the role of Festival Coordinator, Development supports Sundance Institute’s commitment to providing the highest level of customer service to our dedicated community of individual donors, major donors, and foundation and government supporters in the lead up to and during the 2025 Sundance Film Festival.

This temporary position works part time from Monday, October 21, 2024 through Wednesday, February 5, 2025 and will be required to work extended hours, including evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This is a fully remote position that does not require any onsite work duties.

Top priorities include but are not limited to…

  • Maintaining and updating tracking documents for all Foundation and Government Giving Festival attendees travel dates, lodging, ticketing, and other logistics.

  • Maintaining and updating tracking documents for all Sundance Circle and major donors attending Festival screenings and events, including travel dates, lodging, ticketing, RSVP’s, and other logistics as needed.

  • Coordinating ticketing and pass benefits for foundation and government supporters collaborating with internal departments (e.g. ticketing) to meet deadlines.

  • Coordinating and supporting Individual Giving Relationship Managers with ticketing and pass benefits deadlines for Sundance Circle supporters and major donors for the Festival.

  • Preparing and distributing Festival itineraries for Individual Giving and Institutional Giving donor accounts.

  • Collaborating with Transportation and Accommodations departments, coordinating the lodging and transportation logistics for donor accounts, as directed.

  • Providing accurate and detailed record keeping in Foundation and Government files for all account activity including ticketing, benefit fulfillment and recognition.

  • Providing accurate and detailed record keeping of all account activity for all Sundance Circle supporters and major donors files; this will include ticketing, benefit fulfillment and recognition.

  • Assisting with providing receipts, acknowledgement of benefits received, and other Festival donor communications, as directed.

  • Preparing documents and conducts Festival outreach mailings and/or emails as requested.

  • Preparing a written wrap report detailing each supporter’s activities, with account outcomes and recommendations for future Festivals.

You have the following direct or transferable skill sets:

  • Legal authorization to work in the United States.

  • 1-2 years experience in nonprofit fundraising and/or arts administration or related areas.

  • Outstanding communication skills required to work effectively with a variety of people.

  • Excellent organizational skills including self management of work schedule.

  • Ability to maintain confidential information.

  • Ability to mitigate conflict and facilitate positive customer relations.

  • Working knowledge of databases along with proficiency in Google Products.

  • Experience with proofreading corporate branding print and electronic signage.
