Seasonal Coordinator, Lodging

POSITION OVERVIEW

The Seasonal Coordinator, Lodging will support planning and implementation of a new lodging infrastructure as part of the Sundance Institute’s move to Boulder for the 2027 Film Festival.

Working closely under the direction of the Senior Manager, Guest Operations, the Seasonal Coordinator, Lodging supports Sundance Institute’s commitment to advance the impact of independent storytelling in the world and to introduce audiences to their work, with a particular focus on setting up the next chapter of the Institute’s Festival for success.

This position works part-time (20 hours per week) starting Monday, December 1, 2025, through Friday, August 28, 2026 and may be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position must be based within a commutable distance to Boulder, CO, in order to work onsite in a hybrid capacity throughout its duration.

Top priorities include but are not limited to…

  • Liaising with our booking engine on Lodging Provider Agreements, general contracting, and other marketing deliverables.

  • Supporting the ground transportation team in the development of a Festival transportation infrastructure, including working with representatives from Visit Boulder and other outlying areas (i.e. Broomfield/Superior, Longmont, and Westminster city officials) to plan additional transportation support during Festival dates.

  • Conducting meet and greets onsite in Boulder as needed and assigned.

  • Assisting with the lodging needs of our special constituent groups and working with the teams under the direction of the Senior Manager, Guest Operations to fine-tune their lodging deliverables.

  • Collecting and organizing information for all new hotel partners that will be included in the Airtable database.

  • Coordinating with the City of Boulder and Visit Boulder on the Boulder Festival Lodging Program for private homeowners.

  • Completing additional project-based assignments as it pertains to Boulder Lodging as needed.

You have the following direct or transferable qualifications and skills:

  • 2 years experience in hospitality, operations, guest relations, or a related field.

  • Strong attention to detail and accuracy in recording, tracking, and issuing information.

  • Ability to collaborate with others and work within a multi-department, team-based environment.

  • Outstanding written, verbal, and interpersonal communication skills to work effectively with a wide variety of people internally and externally.

  • Ability to prioritize and meet multiple deadlines and handle multiple tasks simultaneously.

  • Proficiency in Google Applications (particularly Sheets), Microsoft Excel, and Airtable preferred.

  • Legal authorization to work in the United States.
